How to generate Final Letters

Your Final Letter is the consolidated greeting cards to your members, each including the names and greetings (if you allowed for the option) of all other members who selected the recipient of the card. The Final Letters are produced at the very end of the campaign and can either by emailed or printed and included with a gift basket (if you choose to send these).

Preparation
Before producing your Final Letters confirm that:
  1. Your campaign ended (so members don't continue making selections as you're producing the letters) 
  2. You resolve any "unfinalized" orders (see more here: Orders that are not Finalized)

Email Version

It’s important to distinguish between the E-Card product and the email delivery of your Final Letters, as they can easily be confused. Emailing your Final Letters is simply a method to send these letters to members digitally, avoiding the need for physical delivery. The E-Card product, however, is an additional service that allows members to send greetings to individuals outside your member list. Learn more here:   E-card Product.

To email your Final Letters to members:
  1. Expand the Email option on the menu bar on the left.
  2. Choose Sample Templates
  3. Choose one of the E-card options from the available templates
  4. Customize the template to add and image and to insert any of the macros that you'd like
  5. At minimum you should have a macro indicating the recipient of the E-card (e.g. Final Letter Designation) and the Greetings macro
  6. Once you're satisfied you should test the email by sending to yourself
  7. Continue to selecd the recipients for your cards




Built-in PDF Version
Should you want to print your Final Letters an easy way to generate them is by going to Letters => Final Letters PDF
When you compose your letter notice the Letters Macros button on the editor where you'll find the various macros beginning and ending with curly brackets. Use these macros when composing your letter, for example:



You are able to Insert Images, edit colors and other styling options to your letter by using the available icons.

Then click "Continue to choose recipients" => Select All => Generate Final Letters. The final letters PDF should be downloaded to your computer.

Your own Mail-Merge Letters
Alternatively, if you would like to take advantage of Word's capabilities for creating the final letters you can perform a mail merge. To do so, go to Letters => "Final Letters Excel for mail merge" and  follow the steps in our "Final Letter Mailmerge" video tutorial. A sample template is attached to this article.
